Back-to-School Preparation Checklist for Administrators: Ensure a Smooth Start to the School Year
As a school administrator, ensuring that your building, staff, and systems are ready for the first day of school is a monumental task. A successful start to the school year requires thoughtful preparation and attention to detail. This checklist will help you streamline the process, from facility readiness to staff and student engagement, so you can begin the year with confidence and create a positive, organized environment for everyone.
1. Conduct a Building Walkthrough
Before the first bell rings, take a thorough walkthrough of the school building to ensure everything is safe, functional, and ready for use:
- Check for Safety Hazards: Make sure there are no blocked hallways or exits, broken windows, or other potential hazards.
- Inspect HVAC and Utilities: Ensure air conditioning, heating, elevators, and phone systems are operational.
- Classroom Readiness: Verify that classrooms are clean, organized, and fully stocked with the necessary supplies.
- Fire Safety: Confirm that fire exits are accessible, fire drills are scheduled, and emergency equipment is in working order.
2. Meet with the School Nurse
Health and safety are a top priority. Ensure all medical protocols are in place:
- Immunization & Health Records: Verify that student health records are up-to-date, and ensure any missing immunizations or medical forms are addressed.
- Communication Protocols: Confirm that the school nurse has clear communication channels in place to notify parents about missing forms or other medical updates.

3. Check In with Returning Staff and Teachers
Make sure your staff is ready for a successful school year:
- Meet New and Returning Staff: Get to know all teachers and staff, especially new hires. Greet everyone by name to foster a welcoming environment.
- Staff Training: Plan for orientation and training for new teachers, and ensure veteran teachers are involved in mentoring and supporting newcomers.
4. Enable Communication Systems
Effective communication is key to a successful school year:
- Send Welcome Messages: Reach out to staff, parents, and students with emails or letters that outline important information for the start of the year.
- Platform for Communication: Decide on a platform for grade sharing and parent communication. Make sure it’s user-friendly and accessible to everyone, including those with limited tech experience.
- Update Communication Channels: Review and update your internal communication systems. Replace outdated tools, like two-way radios, and ensure all channels are functional and efficient
